How to whitelist SMSForms emails so that you never miss a lead

When you sign up for SMSForms.io, you'll receive important notifications about new leads, completed quotes, billing updates, and system alerts. To ensure these emails don't end up in your spam folder, it's important to add all three SMSForms.io email addresses to your email provider's safe senders list.

This quick guide shows you how to whitelist our email addresses in the most popular email services. The entire process takes less than 2 minutes and ensures you never miss a potential customer.

What email addresses should I whitelist?

SMSForms.io sends emails from three different addresses depending on the type of notification. You should add all three to your safe senders list to ensure complete email delivery.

notifications@smsforms.io

This is where your lead notifications come from. These are the most critical emails for your business because they contain actual customer inquiries with contact information and project details. You'll receive emails when customers complete your SMS form with all 6 questions answered, when someone starts but doesn't finish within 24 hours (reminder emails), and when conversations expire after 36 hours without completion.

account@smsforms.io

This is where your account and system emails come from. These emails keep your business running smoothly by alerting you to important account issues. You'll get notifications when required profile fields are missing and blocking incoming leads, when suspicious phone numbers are automatically blocked by our spam detection system, and when there are important service updates or system changes.

support@smsforms.io

This is where billing and payment emails come from. These transactional emails ensure you stay informed about your subscription status, including monthly payment confirmations, invoices and receipts for your records, payment failure notifications if a charge doesn't go through, and overage charge alerts when you exceed your plan limits.

Important: If you reply to any email from notifications@ or account@, your message will automatically be forwarded to our support team at support@smsforms.io. We'll respond within 24 hours to help with any questions or issues.

Step-by-Step Instructions

Gmail

Open Gmail and log in to your account, then click the gear icon in the upper right corner and select "See all settings." Navigate to the "Filters and Blocked Addresses" tab and click "Create a new filter." In the "From" field, type @smsforms.io (this whitelists all emails from our domain). Click "Create filter" at the bottom, then check the box next to "Never send it to Spam."

Optionally, you can also check "Also apply filter to matching conversations" to move any existing SMSForms emails from spam to your inbox. Click "Create filter" one more time to save your settings.

Pro Tip: Using @smsforms.io instead of individual addresses whitelists the entire domain, so you'll never miss any SMSForms emails regardless of which address they come from.

Outlook (formerly Hotmail)

Open Outlook and log in to your account, then click the gear icon in the upper right corner and select "View all Outlook settings." Go to the Mail section, then select Junk email from the left sidebar. Under "Safe senders and domains," click the "Add" button and type smsforms.io (without the @ symbol). Click "Save" to apply your changes.

Adding just smsforms.io whitelists all addresses from our domain automatically, ensuring you receive emails from all three of our sending addresses.

Yahoo Mail

Open Yahoo Mail and log in to your account, then click the gear icon in the upper right corner and select "More Settings." Click "Filters" in the left sidebar and then click "Add new filters." In the "Filter Name" field, type something descriptive like SMSForms Emails. In the "From" field, type @smsforms.io, then in the "Move the message to" dropdown, select "Inbox." Click "Save" to create the filter.

This ensures all emails from SMSForms.io bypass your spam folder and go directly to your inbox where you'll see them immediately.

Apple Mail (macOS App)

Open the Mail app on your Mac and click Mail in the menu bar, then select Settings (or Preferences on older macOS versions). Click the Rules tab and then click "Add Rule." In the "Description" field, type something like SMSForms Whitelist. Set the first dropdown to "From" and the second dropdown to "contains," then type @smsforms.io in the text field.

Under "Perform the following actions," select "Move Message" and choose "Inbox" from the dropdown. Click "OK" to save the rule. This ensures all SMSForms emails stay in your inbox and are never marked as junk.

iCloud Mail (Web Browser)

Go to iCloud.com and sign in with your Apple ID, then click the Mail icon. Click the gear icon in the lower left corner and select "Rules," then click "Add a Rule." In the first dropdown menu, select "is from," then type @smsforms.io in the text field. In the "Then" section, select "Move to folder" and choose "Inbox" from the dropdown. Click "Done" to save the rule.

This creates a mail rule that ensures all emails from SMSForms.io are delivered directly to your inbox, bypassing any spam filters.

AOL Mail

Open AOL Mail and log in to your account, then click "Options" in the upper right corner and select "Mail Settings." Click the "Spam Settings" tab to access your spam controls. Under the "Sender Filter" section, find the option that says "Allow mail from addresses I specify." Click in the text box and type @smsforms.io, then click the "Add" button. Finally, click "Save Settings" to apply your changes.

AOL will now never mark emails from SMSForms.io as spam, ensuring you receive all lead notifications and system alerts.

ProtonMail

Open ProtonMail and log in to your account, then click the gear icon in the upper right corner and select "All Settings." Go to the "Filters" tab and click "Add filter." In the "Filter name" field, type something descriptive like SMSForms Whitelist. Under the "If" section, select "Sender" from the first dropdown, then "contains" from the second dropdown, and type @smsforms.io in the text field.

Under the "Then" section, select "Move to" and choose "Inbox" from the dropdown. Click "Save" to create the filter. This ensures ProtonMail always delivers SMSForms emails to your inbox, never to spam.

Zoho Mail

Open Zoho Mail and log in to your account, then click the gear icon in the upper right corner and select "Mail Settings." Navigate to Email Administration in the left sidebar, then click on "Anti-Spam List." Click the "Add to Whitelist" button and type @smsforms.io in the text field. Click "Save" to add SMSForms.io to your whitelist.

Zoho will now automatically trust all emails from our domain and deliver them straight to your inbox.

GMX Mail

Open GMX Mail and log in to your account, then click the gear icon or "Settings" option. Go to the E-mail section and select "Filter rules" from the menu. Click "New Rule" to create a new filter. In the "Rule name" field, type something like SMSForms Whitelist. Under the "If..." section, select "From" from the first dropdown, then "contains" from the second dropdown, and type @smsforms.io in the text field.

Under the "Then..." section, select "Move to folder" and choose "Inbox" from the dropdown. Click "Save" to activate the rule. GMX will now deliver all SMSForms.io emails directly to your inbox.

Mail.com

Open Mail.com and log in to your account, then click the gear icon or "Settings" option. Go to the E-mail section and select "Filter rules" from the menu. Click "New Rule" to create a new filter. In the "Rule name" field, type something like SMSForms Whitelist. Under the "If..." section, select "From" from the first dropdown, then "contains" from the second dropdown, and type @smsforms.io in the text field.

Still Not Receiving Emails?

If you've whitelisted our addresses and still aren't receiving emails, here are some troubleshooting steps that usually solve the problem.

Check your spam/junk folder first

Sometimes the first email from a new sender still ends up in spam even after whitelisting. Look for any emails from @smsforms.io in your spam folder and mark them as "Not Spam" or "Not Junk." This helps train your email provider's filters to trust future emails from us.

Verify you typed the domain correctly

Make sure you typed @smsforms.io exactly as written, with no spaces, extra characters, or typos. The @ symbol should be included for most email providers (except Outlook, which uses just smsforms.io).

Check your notification email address

Log in to your SMSForms.io dashboard and go to Settings. Make sure your "Notification Email" is spelled correctly and is the same email address where you set up whitelisting. A typo here means emails are going to the wrong address entirely.

Wait a few minutes and send a test

After whitelisting, it can take a few minutes for the changes to take effect. Send yourself a test quote through your SMS form to verify everything is working. Text your SMSForms number, complete all 6 questions, and text SUBMIT to trigger a quote notification email.

Add all three addresses individually

Some email providers don't support domain-level whitelisting (@smsforms.io). If the domain approach didn't work, repeat the whitelisting steps three separate times using each individual address: notifications@smsforms.io, account@smsforms.io, and support@smsforms.io.
